Print a Patron Name list

The Patron Names report creates customized lists of patrons. You can provide staff members with a list of patrons in certain homerooms or grade levels, or those who are restricted, inactive, or have expired cards.

You can also generate lists of patrons based on graduation years or Patron Types.

Use a Follett wireless handheld device or PHD Dolphin+ to generate attendance lists.

To generate the report:

  1. Select Reports > Patron Reports.
  2. Under Patron Lists, select Patron Names. The report setup page appears.
  3. A district user with the Manage Patrons for the District permission can use the For drop-down to select a single site from the list.
  4. Complete the fields in the Select by section.
    Note: There may be up to five User Defined options in the Select by drop-down. The table below defines the system-defined options.

    Name

    To specify the names that appear on the list, use the From and to fields.

    Notes:
    • You can limit to one name or a range.
      • All names: Leave both fields blank.
      • One name: Enter the same name in both fields.
      • Up to and including a specific name (alphabetically): Leave the first field blank, and enter a name in the to field.
      • A specific name and all those after it (alphabetically): Enter a barcode in the first field, and leave the to field blank.
    • You cannot use wildcards (?, *) in ranges.
    Acceptable Use Policy Control which patrons appear on the list based on whether they have an Acceptable Use Policy (select Yes) or not (select No).
    Grade Level

    Enter a grade level or range.

    Notes:
    • You can limit to one grade level or a range.
      • All grade levels: Leave both fields blank.
      • One grade level: Enter the same grade level in both fields.
      • Up to and including a specific grade level: Leave the first field blank, and enter a grade level in the to field.
      • A specific grade level and all those after it: Enter a grade level in the first field, and leave the to field blank.
    • You cannot use wildcards (?, *) in ranges.
    Homeroom

    A list of homerooms appears. Only homerooms to which patrons are currently assigned appear in the lists. Enter a homeroom or a range.

    Notes:
    • You can limit to one homeroom or a range.
      • All homerooms: Leave Any Homeroom in both fields.
      • One homeroom: Enter the same homeroom in both fields.
      • Up to and including a specific homeroom (alphabetically): Leave the first field blank, and enter a homeroom in the to field.
      • A specific homeroom and all those after it (alphabetically): Enter a homeroom in the first field, and leave the to field blank.
    • You cannot use wildcards (?, *) in ranges.
    Barcode List

    You can include patron names on the report based on the patrons' barcodes. To specify the barcodes, create a list or upload a barcode file.

    To create a barcode list, enter the barcodes in the Create a barcode list field, and click Add.

    To upload a barcode file, create the barcode file, then click Browse, find and open the file. The file name appears on the Patron Names page.

    To remove a barcode number from the list, select it and click Remove.

  5. Complete the remaining fields on the Patron Names page:

    To include all site associations for each patron, select Show .

    All Patron Types

    To select the patron types you want to include, click Update. On the Select Patron Types page, select the checkbox of each patron type you want on the report. Use Select All and Clear All to work with all checkboxes at once. Click OK when done.

    Active, Inactive, Restricted

    To include active, inactive, or restricted patrons, select the checkbox .

    Patrons with multiple site associations

    To limit the report to only patrons with multiple site associations, select the checkbox .

    Graduation Year

    Select which year(s) you want to include, and then type the year(s) in the field.

    Card Expires

    Set a range of dates to display patrons based on their cards' expiration date.

    Note: You can limit to one expiration date or a range.

    • All dates: Leave both fields blank.
    • One date: Enter the same date in both fields.
    • Up to and including a specific date: Leave the first field blank, and enter a date in the to field.
    • A specific date and all those after it : Enter a date in the first field, and leave the to field blank.

    Include page breaks

    Note: This option does not appear for all options in the Select by field.
    To include page breaks in the report, select the checkbox.

  6. Click Run Report.
  7. When Report Manager opens, click View to open the report.
